Professional, Reliable and Properly Set Up Photos By Charles is a registered sole trader business with a dedicated business bank account. All work comes with an invoice, so bookings and payments are handled properly and professionally. I also hold £10 million public liability insurance. This is important for weddings, private events, schools, venues, businesses, public events and corporate bookings. Many venues and organisations require photographers to have insurance in place before they are allowed to work on site. I also hold a DBS check, which can be viewed where required. This is especially useful for schools, family events, youth organisations and any booking where children or vulnerable people may be present.

Backup Equipment at Every Booking One of the biggest differences between a professional photographer and someone with a camera is preparation. I do not arrive with one camera and hope for the best. I bring two camera bodies to every booking, along with five lenses and two flashes. This means I have backup equipment with me and can adapt quickly to different situations. Wide shots, close details, portraits, speeches, dancing, low-light venues, candid moments and fast-moving events all need different equipment. Having the right kit with me means I can keep working without stopping the flow of the event. Both of my cameras also support dual card recording. This means the photos can be written to two memory cards at the same time. In the unlikely event that one memory card fails, there is a second copy already created in camera. It is a simple but important layer of protection. ## Cover in the Unlikely Event I Cannot Attend It is very unlikely that I would not be able to attend a confirmed booking, but proper planning means thinking about the worst-case scenario before it happens. I have a large network of trusted photographers who also work professionally in the industry. If there was a genuine emergency and I could not attend, I would use that network to help find suitable cover where possible. This is another reason why booking a professional matters. You are not just booking someone with a camera. You are booking someone who understands the responsibility of the job and has professional connections in place.


A Robust Backup System for Your Photos Your photos do not just sit on one hard drive after the event. I use a robust backup system with multiple copies to reduce the risk of image loss. There are five layers of storage: the usable working copy, a local backup next to the server, a cloud backup, an LTO tape archive, and a second LTO tape stored off site. The usable copy is the version used for editing and delivery. The local backup is a second copy stored separately on site, so the files are not only in one place. The cloud copy adds another layer away from the local system. LTO tape is a professional long-term archive format often used for serious data storage because it is designed for reliable offline storage. The off-site LTO tape adds extra protection in case of something serious happening at the main location, such as fire, theft, flood or major hardware failure. In simple terms, your images are not treated as throwaway files. They are backed up properly, with several layers of protection from capture through to archive.
